Booking and Cancellation Policy

 Whirlow Spirituality Centre Booking, Cancellation and Refund Policy

For events, course and retreats organised by Whirlow Spirituality Centre (WSC):

Confirming Bookings

WSC strives to ensure that any information given about events, courses and retreats is accurate and that availability of places on these is kept updated. In rare circumstances, however, it may occur that we cannot honour a booking. In this case, you will be refunded in full. Please consider bookings to be provisional until you receive confirmation by email.

Cancellation by Whirlow Spirituality Centre

If WSC cancels an event, course or retreat that you have booked you will receive a full refund.

Support for people with disabilities

We aim to make our events, courses and retreats as accessible as possible. If your disability means that you need the support of an assistant or carer in order to fully participate we may be able to offer a free place for someone accompanying and supporting you. We can’t always guarantee this and invite you to contact us as soon as possible if you wish to arrange this. We are not usually able to offer free support places for residential retreats but might be able to offer an assistance place at reduced cost.

Transfer or cancellation by an individual

Individuals cannot transfer their bookings except in exceptional circumstances as agreed with staff at the Centre.

·         If you notify us of a cancellation more than 8 weeks prior to a residential event, we will charge a cancellation fee of 25% of the ticket price to cover our costs. Any additional money will be refunded. Cancellations less than 8 weeks prior to a residential event will not receive a refund.

·         If you notify us of a cancellation more than 6 weeks prior to a non-residential event, we will charge a cancellation fee of £5 or 25% of the ticket price (whichever is higher) to cover our costs. Any additional money will be refunded.

·         If you notify us of a cancellation less than 6 weeks and more than 2 weeks prior to the event, we will charge 50% of the ticket price to cover our costs. Any additional money will be refunded.

·         If you notify us of a cancellation less than 2 weeks prior to the event, the full cost will be payable.

Courses, sessions and events held online only:

·         If you notify us of a cancellation more than 2 weeks prior to the event you will be given a full refund. 

·         If you notify us of a cancellation 2 weeks or less prior to the start of the event we will charge a cancellation fee of £5 or 25% of the ticket price to cover our costs. Any additional money will be refunded.

Events that are free will not incur any cancellation fee.

Change of content or leader

 We make every effort to run events, courses and retreats as advertised. However, there may be occasions when we have to change content and/or leaders. WSC reserves the right to make these changes. In such instances, no reductions or refunds are available and the normal cancellation arrangements apply.

Cooling off period

If you cancel your booking within fourteen days of receiving confirmation of your booking from us you are entitled to a full refund under consumer protection regulations. If your event, course or retreat starts within those fourteen days and you attend some part of it an amount will be deducted from the refund in proportion to the amount of the event, course or retreat you have attended. If you attend an entire event, course or retreat within the cooling off period you will not be entitled to any refund.

For external bookings of the Whirlow Spirituality Centre

Confirming bookings

Bookings will be considered provisional until a signed and completed booking form has been returned. If you do not confirm a booking within a reasonable period of time we cannot guarantee that it will be kept open for you. We will make reasonable efforts to contact you before cancelling a provisional booking. Invoices are normally sent out after the event but may be sent beforehand to those booking a series of dates.

Cancellation

If WSC cancels a booking you will receive a full refund of any monies paid.

·         If you notify us of a cancellation more than 6 weeks prior to the booked date, we will charge a cancellation fee of £25 or 25% of the total fee (whichever is higher) to cover our costs.

·         If you notify us of a cancellation less than 6 weeks and more than 2 weeks prior to the booked date, we will charge 50% of the total fee to cover our costs.

·         If you notify us of a cancellation less than 2 weeks prior to the booked date, the full cost will be payable.

If an external booking is rebooked for a new date an administration fee (max £25) may be charged to cover our costs

If you cancel your booking within fourteen days of receiving confirmation of your booking from us you are entitled to a full refund under consumer protection regulations. If your event starts within those fourteen days and some part of it is delivered an amount will be deducted from the refund in proportion to the amount of the event you have delivered. If the whole event has been delivered within the cooling off period you will not be entitled to any refund.

Insurance

For both individual and external bookings we recommend that you consider taking out cancellation insurance to provide cover in the event of having to have to cancel your booking due to unforeseen circumstances. WSC is not able to recommend an insurance provider.
